Quinlan Dental Care Data Protection Statement

At Quinlan Dental Care, located at 18 Fitzwilliam Square South, Dublin, we are fully committed to protecting the privacy and security of our patients’ information, in compliance with the General Data Protection Regulation (GDPR) and any applicable local data protection laws. This Data Protection Statement outlines our practices and principles for processing personal information with fairness, legality, and transparency.

Collection and Use of Personal Information

To provide you with the highest standard of dental care, we collect and maintain various types of personal information, including but not limited to:

  • Personal details such as your name, age, address, telephone numbers, email address, and details of your general medical practitioner.
  • Your medical and dental history, current condition, radiographs, clinical photographs, and study models.
  • Details of treatments provided or proposed, including costs.
  • Notes on conversations or incidents relevant to your care.
  • Records of consent to treatment.
  • Correspondence with other healthcare professionals regarding your care.

This information is vital for offering you safe, personalised, and effective dental care.

Data Retention

We retain your dental records while you remain a patient with us. Should you leave our practice, we will continue to store your records securely for at least eight years or, for children, until they reach the age of 25—whichever is longer.

Security and Accessibility

Your personal data is stored securely within our computer systems and/or manual filing systems, accessible only to authorised members of our staff. Our systems are designed with robust security measures, including secure audit trails and daily backups, to prevent unauthorised access and ensure data integrity.

Disclosure of Information

For the purpose of providing comprehensive dental care, we may disclose your personal information to:

  • Your general medical practitioner.
  • Hospital or community dental services.
  • Other health professionals involved in your care.
  • Dental Insurance Companies and private dental schemes to which you are a member.

Such disclosures are made strictly on a need-to-know basis to ensure your care is managed appropriately. Any sharing of information is conducted under strict confidentiality agreements, and your information will only be shared with your explicit consent, except in circumstances required by law.

Your Rights

You have the right to access the personal information we hold about you. Requests for access can be made in writing, and a nominal fee may be charged for processing. Should you require copies of x-rays or records, additional charges may apply. We aim to fulfil such requests within 40 days, providing copies and any necessary explanations of your records.

If you decide to transfer to another dental practice, we can provide your new dentist with copies of your records or loan original x-rays upon their written request, free of charge.

Your Choices

If at any time you prefer that your personal data not be disclosed or used in a manner described in this policy, please discuss your preferences with your dentist. We respect your right to control your personal data, though it is important to note that this may affect our ability to provide you with certain dental care services.

Quinlan Dental Care is dedicated to upholding the highest standards of data protection and patient confidentiality. If you have any questions or concerns regarding our Data Protection Statement, please do not hesitate to contact our practice manager. Your trust, safety, and care are our highest priority.
